I'll need to get my bud involved, he's going to Philly and he doesn't even know it yet.

When i organised the London Meet, i kept a text document with a list of all the people who had registered an interest in the London Meet thread. You can send a PM to multiple people in the same way you can PM your whole clan by seperating the names with comma's and no spaces, ie...
Do we have a list of who's coming anyways? 😕
Marinakatomb,phlabbibit,cheshire cat,etc...
Once you have a list, it means the organiser (whoever that is, do you have one?) can distribute information to all interested parties without having to relly on them coming to the forum. Your vote might not have caught the attention of everyone who is interested. The London one stagnated at one point with two dates having equal votes. I had to contact everyone in order to get them to change their votes to be either one or the other of the two most popular dates. You may end up in this situation as well so it's well worth doing, although i accept that at this late stage it'll be a bit of a pain in the a$$.
Have you worked out how many people have registered an interest? Having a list that get's longer as more people hear about the meet makes it possible to keep everybody interested as you can distribute information quickly to all. When you do reach a final date, you'll need to contact everyone with details, etc... Basically what i'm saying is if you don't do one, you'll never get this off the ground.
My two cents....
